Teleconference and Web Conferencing Guidelines
and Technical Information


Using a combination of audio and web conferencing services, we can create Teleconferences that present information I want to share with you in complementary ways.  Not only will you be able to hear me present the information, you will be able to see it...and intereact with it.  Hopefully...we can create the next best thing to actually attending one of my presentations or workshops - from the comfort of your home or office.

Teleconferencing Guidelines
 
1. If possible, please use a regular land phone rather than a cell or mobile phone. 
2. Be aware of background noises - pets, other phones, crying baby, television, radio, etc. 
3. Please disable your call waiting feature before you call the Teleconference number. 
4. Please turn off ringers on other phones/fax machines in your home/office if at all possible. 
5. *6 Self Mute-This feature allows you to mute your line. 
6. Please identify yourself when/if you speak during the call.   
7. Please participate in the call at the level you are most comfortable with.  
8. Please call-in on time so the call can begin and end on time. 
9. *4 Volume Gain-This feature allows you to raise and lower the volume.
 
PLEASE READ CAREFULLY

If you will be using a rotary dial phone, cellular phone, or voice over IP you may experience difficulty accessing the call, and could produce echoes during the call.  Please press * 6 to mute your line if using the above services.  Customer service is open 24/7 to assist you at 800-787-6338. 
 
Web Conferencing
 
Web conferencing enables us to conduct live, interactive presentations online. You are able to meet and interact with many remote participants—using the Internet and a telephone.
 
At the beginning of the call, we will introduce you to some of the features available to us:
 
Presentations - Allows Tom to upload one or more images (a Powerpoint presentation or individual JPEG images) to the call to provide support for his presentation.
 
Shared Applications – Allows Tom to share files running on his computer with others on the call. 
 
Chat – Allows you to send text messages to other people participating on the call.  You can send the message to the entire group or send a message to an individual person.  This is a great way to ask questions.
 
 
Web Conferencing FAQ
 
1.  How do I log into a web conference?
 
After Tom has emailed you your conference reference # and your security code you can login in one of two ways. 
 
A.      The first way will take you through Eagle Teleconferecing`s homepage.  Go to www.eagleconf.com.  Under the title Web Conference click "Join A Web Conference." This will take you to the login page where you will enter your name,  the conference reference #, and security code.  After you "select concerence" you will join the call.   
 
B.      You can also go straight to the login page http://dataconf.eagleconf.com/dataxchange/ enter your name, the conference reference #, and security code and click to join the call. 
 
2.  When I try to enter the web conference I get a message telling me that the conference does not exist and that I do not have authorization to create it.  What does this mean?
 
If you see this message it means that the moderator/leader of the conference has not logged in yet.  As a participant you do not have authorization to start your own web conference.  You should check the time, date and time zone of the conference.  You may just be a little bit early.  You also may want to contact the host of the conference to check the conference reference, conference code, time, etc. 
 
Is there a particular web browser that I need to use? 
 
Although web conferencing is supported by many different types of web browsers we suggest the use of Microsoft Internet Explorer.  It would be a good idea to download the newest version of Internet Explorer before the web conference.  You can go to www.microsoft.com/windows/ie/default.asp . You will see a link that says “Download Now.”  Click and go through the download process. 
***this does take sometime to download and should be done before the conference     
 
 
3.  I am having problems logging into the web conference?  Screens come up but it is just white?  When I put in my login information nothing happens?   
  1. Make sure that you have the right Conference Reference # and Security Code. 
  2. If you see security warnings remember that you will have to say yes to them.
  3. If you have Pop up blockers on your internet explorer, you will need to disable them. 
  4. Go to your web browser.  At the top select Tools and then internet options.  Click on the advances tab.  Scroll about half way down.  You should see something that says “Microsoft VM or Java VM”.  Under that you should see “Java console enabled”, and “JIT Copiler”.  If boxes are not checked do so and restart your computer.  Try to log in to the web conference again.                          ***this can be done fast but will require you to restart your computer. 
  5. If you are still having problems or do not see anything about Java in your advanced section you may still need JAVA download which helps to run the applications.  Go to http://java.sun.com .  On the right hand side of the page you will see a little section that says “Popular Downloads”.  Select Java VM.  It will take you to a page and you will see “Get It Now” Click on this.  You should see a message that it is done loading.  Try to log on to the conference again.                                               ***this does take some time to download.
  6. If you are still having problems logging into the web conference you should go to www.microsoft.com/windows/ie/default.asp and download the newest version of Internet Explorer.  (6.0 SP1).  Once you have downloaded the new IE you should look at Suggestion 1 and make sure that you change the browser settings. You will need to restart your computer for the new browser to take affect.   Try to log into the web conference again.

  7. Finally, if you do all of these things and still cannot get into the web conference there may be a problem caused by your firewall.  Access to the particular URL may need to be added to your firewall.  Please call 1-800-778-6338 x 103 for more on this.
